Windows/Mac: How to Set Up Email in Outlook

This guide will walk you through setting up your email account in the Microsoft Outlook desktop app on your Windows or Mac computer.

Steps and screen layouts may vary depending on your operating system and Outlook version.

Important: Registry Australia does not recommend using the Microsoft Outlook desktop app for IMAP email accounts. Following recent Outlook updates, we have experienced compatibility issues that may affect email setup, synchronisation, and functionality.

For a more reliable experience, we recommend using an alternative email application, such as Mozilla Thunderbird or Apple Mail (Mac).

Step 1: Open Outlook and Add an Account

  1. Open the Microsoft Outlook app on your computer.

  2. Follow the instructions for your device:

    Windows (New Outlook)

    • If you're using Outlook for the first time: Follow the on-screen prompts to add an email account.

    • If you already have an account connected: Open Settings > Accounts > Your accounts, then select Add Account.

    Mac

    • If you're using Outlook for the first time: Follow the on-screen prompts to add an email account.

    • If you already have an account connected: Select Outlook > Settings > Accounts, then click Add Account.

Step 2: Enter Your Email Address

  1. Enter your full email address and select Continue or Add Account, depending on your Outlook version.

  2. If prompted to select an account type, choose IMAP.

Note: You may need to select Set Up Manually or Advanced Setup to access the IMAP settings.

Step 3: Configure Your Mail Servers

  1. Enter the following account and server settings when prompted:

    Incoming Mail Server (IMAP)

    • Server: mail.yourdomain.com.au

    • Port: 993

    • Security: SSL/TLS

    • Username: Your full email address.

    • Password: Your email account password.

    Outgoing Mail Server (SMTP)

    • Server: mail.yourdomain.com.au

    • Port: 465

    • Security: SSL/TLS

    • Username: Your full email address.

    • Password: Your email account password.

Replace yourdomain.com.au with your own domain name.

If an option to enable outgoing server authentication appears, ensure it is enabled.

Step 4: Complete Your Setup

  1. Select Continue, Add Account or Sign In, depending on your Outlook version.

  2. Follow any remaining prompts to verify your account.

  3. Once your account has been successfully added, select Done or Finish.

Setup Complete!

Your email account should now be ready to use in Microsoft Outlook.

We recommend sending a test email to confirm that you can both send and receive messages.

If you experience connection or synchronisation issues, we recommend switching to an alternative email application.
